How Öresundskraft discovered the true usage of their activity-based workplace with seat availability data from Nimway 

 


 

When designing their new activity-based workplace, the facility management team at Öresundskraft knew they needed to make it simple for employees to find available rooms and desks. They chose Nimway as their solution. Employees at Öresundskraft now use Nimway to get real-time updates about available spaces—via occupancy sensors, employee applications, and room panels. At the same time, the facility management team gains space usage analytics to optimize their seating arrangements, avoid unnecessary spending, and improve office space efficiency for Öresundskraft. 

 

Öresundskraft provides essential energy services—electricity, district heating, cooling, gas, and fiber internet—to over 125,000 private and commercial customers in Sweden. When Öresundskraft decided to modernize their office building, they wanted to avoid the common pitfalls of activity-based workplaces. To set their employees up for success and make their dynamic office space work, they chose Nimway.  

 

Problem  

Like many companies, Öresundskraft transitioned into a more dynamic office space after the global pandemic. They introduced a mix of spaces in their office, such as large meeting rooms, smaller meeting rooms where you can have individual conversations, unbookable drop-in rooms, and large layouts of shared desks. Their overall goal was to improve collaboration, cost-efficiency, and become a more attractive workplace.  

 

However, they knew that transitioning away from traditional office spaces could create an unfamiliar challenge for employees: Finding workspaces and colleagues. “Our main goal was to help employees find an available workspace when they arrive in the morning. How do they know which conference room to go to? Which zone is relevant for their typae of work? And is it available or occupied?” said Marika Magnusson, Facility Manager at Öresundskraft. “People need to know about available seats. And we need to help them find available seats.”  

 

To address these challenges proactively and set their employees up for success, Öresundskraft started to explore the market for a solution that would support their activity-based workplace. “My job is to make sure everyone has what they need for an effective day at work, but it is also to keep costs low for the company. There is always a balance between costs and employee experience. And as a publicly funded organization, we must manage resources responsibly.”

Solution 

Öresundskraft chose Nimway to help employees in their new activity-based workplace. Occupancy sensors at desks and in meeting rooms now visualize available workspaces in real time. Employees can quickly check the availability status of workspaces—in the employee application, digital floor plans, and room booking panels—to see what is available at any given moment. This lets employees use their office space in a more efficient way. Öresundskraft also uses Nimway Analytics to discover detailed utilization insights. Their facility management team logs in to the analytics dashboard to find statistics, trends, and heat maps about how their workplace is being used, which workspaces are occupied the most, and which are used the least.  

 

Nimway was Öresundskraft’s solution of choice because it helped them use their activity-based workplace, but other factors guided their decision too. Torbjörn Holmqvist, IT Manager, explained that one of the highest priorities for them when choosing a solution was privacy and security. “It was important to me that the solution provider provided both the hardware and software, and not only that, but took data security very seriously. Outcome 

The impact of Nimway is clear, according to Torbjörn Holmqvist. “Now, when you come to the office in the morning, Nimway helps you find an available workspace, and it guides you to the relevant conference room,” says Torbjörn. This is just one way that Nimway helped Öresundskraft increase the efficiency of their activity-based workplace. The other way was by using utilization data, found in Nimway Analytics, to identify problem areas. “Previously, we attempted to manually check utilization to gather data, but this was both inefficient and inaccurate,” says the Facility Manager, Marika Magnusson. “With Nimway, we can now base decisions on robust data rather than guesses. And often times, revealing true usage is a genuine ‘Wow!’ moment.”  

 

Marika explains that insights about true usage from Nimway Analytics have been used both to make changes—and avoid making changes that would have otherwise been costly. “For example, we can justify not investing in more office space or equipment when the statistics clearly show we have enough space and equipment. We just need to use it better. At the same time, Nimway has helped me rearrange office areas that were crammed—and prove it with statistics. It’s very nice to have data to lean against to prove a space needs more seats.”
